Bid/RFP Opening Procedures:

All bids are opened promptly on the date and at the time stated in the bid specifications. Unless otherwise specified, all interested vendors are invited to attend the bid opening in-person at the specified location noted in the Invitation to Bid.

If the bid opening is modified to a virtual setting, all prospective bidders will be notified via email and receive a virtual meeting link prior to the bid opening.

At the time of the bid opening, all bids are read aloud, and a tabulation of bid results is created. Once bids are opened, no amendments are permissible.

If a vendor notices an error in their bid submission, they are afforded three options:

1. Honor their bid as written

2. Withdraw their bid on the item(s) in question

3. Withdraw their entire bid.

Bid/RFP Evaluation:

It is the intent of the school district and Regional School District No. 1 to obtain the best quality goods, materials, and/or services at the lowest possible price.

In determining the best value for the District, the District is not restricted to considering price alone, but may consider any other factor stated in the selection criteria.

Bid/RFP Award Notification:

The Regional School District No. 1 Business Office will issue all official bid award notifications via email to participating bidders. Bid award notifications received from individuals outside of the Regional School District No.1 Business Office may contain falsified information and should be disregarded.
